This Administrative Assistant will serve as the lead administrative professional in the LDH Fiscal Division, coordinating all administrative operations across multiple sections and providing high-level support to executive leadership.

Requirements

Four years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Key Knowledge, Skills, and Abilities within this position:

  • Advanced knowledge of office systems, state purchasing policies, and records management.
  • Ability to manage competing priorities and exercise discretion with sensitive information.
  • Strong written and verbal communication skills.
  • Demonstrated ability to lead, plan, and coordinate complex administrative activities.
  • Leads administrative operations across multiple sections; provides executive-level support 
  • Serves as lead timekeeper, resolves issues with HR/payroll 
  • Manages procurement, P-Card reconciliation, and purchasing documentation 
  • Oversees inventory and property control systems 
  • Manages division-wide retention schedules and compliance logs 
  • Prepares agendas, minutes,and  coordinates logistics for leadership meetings 
  • Provides oversight of administrative coverage across multiple teams 
  • Assists with sensitive personnel actions and confidential documentation 
  • Mentors and provides guidance to AA4; may supervise support staff
  • Higher-level coordination with lead responsibilities and oversight of office administration
